Approval Process for Clubs and Student Organizations
Submittal is prepared using Organizational Standards:
- Must state purpose which supports the District Mission and Goals.
- When a constitution is required for state and/or national affiliation, it must abide by District policies and procedures.
- Must identify an acceptable adult consultant who might possibly become an advisor to assist in the approval process.
- Must promote a policy of open membership or nondiscriminatory selection criteria.
- Must strive to identify a minimum membership of ten (10) students.
- Present a plan to recruit and sustain the program, including 3-year projected participation numbers, and 3-year funding projections, alignment to district outcomes.
- Must present a proposed schedule of meetings and events.
Submittal is reviewed and approved/disapproved by building administration who will evaluate the proposal as it relates to the following:
- Meets the requirements of policy and law.
- Gender equity or other discriminatory issues.
- Impact on facilities.
- Impact on existing programs or clubs.
- Impact on administrative support.
- Start-up expenses.
- Maintenance of expenses.
- Student body interest.
- Community support.
A submittal that has been approved is reviewed by the Extra-Curricular Committee who will determine:
- Impact on organizations and activities in other buildings.
- Recommendation for Advisor compensation if any.
- Recommendation for Advisor who will be expected to be present at all scheduled meetings and events.
The submittal that has been approved will be put on the School Board Agenda for review and approval. The Board will:
- Review the submission.
- Listen to representatives present their proposal and ask questions as appropriate. If acceptable, grant a one (1) year trial approval.
- Establish advisor compensation.
- Hire an Advisor.
After the trial period, the group must report to the board and seek continuing status.
- Requests submitted prior to December 1 and subsequently approved will be compensated during the following school year.
- Requests submitted after the December 1 deadline may be approved as an unbudgeted/unfunded activity during the trial period. Upon review after the trial period and subsequent Board approval, the club or organization will be included in the budget and the approved advisor will receive compensation.
- If a club or organization is inactive for a period of one budget cycle, they must reapply for active status.
Note:
1. Requests submitted prior to December 1 and subsequently approved will be compensated during the following school year.
2. Requests submitted after the December 1 deadline may be approved as an unbudgeted/unfunded activity during the trial period. - Must identify an acceptable adult consultant who may possibly become a coach to assist in the approval process.
Submittal is reviewed and approved/disapproved by building administration who will collect data and evaluate the proposal as it relates to the following:
- Gender equity or other discriminatory issues.
- Impact on facilities.
- Impact on existing programs.
- Impact on administrative support.
- Start-up expenses.
- Availability of competition.
- Maintenance expenses.
- Student body interest.
- Community support.
- Potential to field competitive teams.
- Availability of acceptable coaching candidate who meets the district standards and expectations for the position.

- Impact on organizations and activities in other buildings.
- Recommendation for coaches compensation if any.
- Recommendation for coach/coaches who will be expected to meet the District standards and expectations for the position.

- Review the submission.

- Hire coach/coaches.
After the trial period, the group must report to the board and seek Varsity status.
- Requests submitted prior to December 1 and subsequently approved will be compensated during the following school year.
- Requests submitted after the December 1 deadline may be approved as an unbudgeted/unfunded activity during the trial period. Upon review after the trial period and subsequent to Board approval, the athletic team will be included in the budget and the approved coach/coaches will receive compensation.
- If a Team is experiencing persistent difficulty in the above-rated categories for a period of three years, Team status will be reviewed.
